This policy explains what personal information we collect, why, and what you can do about it. It applies to sustainperformance.co.uk, scorecard.sustainperformance.co.uk, and any form, email or booking page we run.
Sustain Performance Ltd is the data controller. You can contact us about anything in this policy at ollie@sustainperformance.co.uk.
What we collect
When you complete the Sustain Scorecard Your name, email address and phone number, plus the answers you give — your age bracket, sex if you choose to share it, training history, any pain or injury you tell us about, and the scores and recommendations the scorecard generates from those answers.
When you book a call Your name, email address, phone number, and the time you booked, via Calendly.
When you become a client The information needed to coach you and run your account: contact details, training and health history relevant to your programme, session records, and payment details. Card payments are processed by Stripe; we never see or store your full card number.
When you email or message us Whatever you choose to send, and our replies.
Automatically Our website provider records basic technical information such as your IP address, browser type and the pages you visit. We don't run advertising trackers on the scorecard.
Why we collect it
To give you what you asked for — your scorecard, the seven-day email series, a call, or coaching. Legal basis: performing a contract with you, or the steps you've asked us to take before one.
To send you coaching emails you've opted into. Legal basis: your consent, which you can withdraw at any time by clicking unsubscribe or emailing us.
To coach you safely. Health information you share is used only to make your training appropriate. Legal basis: your explicit consent, given when you provide it.
To run the business — invoicing, records we're required to keep, dealing with disputes. Legal basis: our legitimate interests and legal obligations.
We do not sell your information, and we do not share it with anyone for their own marketing.
Who we share it with
Only the services we use to run the business, each of which processes data on our instructions:
GoHighLevel — our contact database and email system. Scorecard submissions, booking details and email history live here.
Calendly — call booking.
Stripe — payment processing.
TrueCoach — programme delivery for clients.
Google Workspace — email and document storage.
Lovable — hosts the scorecard application. It does not store your submissions; they pass through to GoHighLevel.
Squarespace — hosts this website.
Some of these providers store data outside the UK. Where they do, they operate under recognised safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.
How long we keep it
Scorecard leads who don't become clients: 24 months from your last interaction with us, then deleted.
Clients: for the duration of coaching, then 6 years for records we're required to keep for tax and insurance purposes. Health information is deleted when coaching ends unless you ask us to keep it.
Email correspondence: 24 months, unless part of a client record.
Your rights

Correct anything that's wrong
Delete it — we'll do so unless we're legally required to keep it
Stop sending you marketing — unsubscribe from any email, or tell us
Restrict or object to how we use it
Give you a copy in a portable format

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The main website uses cookies set by Squarespace for basic functionality and anonymous analytics. The scorecard uses no cookies for tracking; it stores nothing on your device beyond what's needed for the page to work.
Changes
We'll update this page if anything material changes, and update the date at the top. Significant changes affecting how we use your data will be emailed to you if you're on our list.
